Gamma
Turns an outline into a presentation or web document, handy for trip proposals and tour overviews.
- Free plan or free tier
Tour operators, travel advisors and guides spend much of their week producing documents: day-by-day itineraries, trip proposals with options and inclusions, and the pre-departure packs clients actually read on the plane. Itinerary software turns that from a word processor job into a structured one, and some tools now draft descriptions with AI.
Travefy is built for travel advisors and tour operators. It produces branded itineraries and proposals, and clients can open their trip in an app. Gamma takes an outline and turns it into a presentation or web document, which works for a polished trip proposal or a tour overview for a group leader. Notion is a general workspace, and plenty of small operators and freelance writers use its databases to plan research trips and share a day-by-day page with a client or editor.
Whatever you use, the client document has to be right. Check every time, transfer and booking reference by hand, and keep descriptions of hotels and sights accurate rather than glowing, since clients hold you to what the itinerary promised.

Turns an outline into a presentation or web document, handy for trip proposals and tour overviews.
Workspace for notes and databases with AI help, used to plan research trips and share day-by-day documents.
Itinerary and proposal software for travel advisors and tour operators, producing branded trip documents and apps for clients.
Version control matters more than it seems. Clients change dates, add a night or swap a hotel, and an old itinerary still sitting in their inbox causes confusion at the airport. Name each version clearly, mark superseded ones, and send the final document with a short summary of what changed since the last one. Keep supplier confirmations attached to the trip record so a question during travel can be answered quickly.
Simple formatting helps clients more than design flourishes do: clear headings by day, times in local time, and one page they can find quickly at a check-in desk.
It can draft them, but check each description against the real hotel, tour or venue. Clients notice when a promised view or included meal turns out to be wrong.
Dates, times and locations for every transfer and activity, confirmation numbers, emergency contacts, what is and is not included, and practical notes such as dress codes or entry requirements, checked against official sources.
For small operators and freelancers it can be. Share a read-only page per trip and keep a template for repeat tours. Dedicated itinerary software adds client apps and booking-oriented features.
Send a PDF as well as any link, and ask clients to save it to their phone. Some itinerary apps also keep trip details available without a connection; check before relying on it.
